PURPOSE OF THE ROLE We are seeking an ambitious, motivated and experienced individual to ensure high quality operational support is provided to the Partners and Associates across the Singapore office (including secondees or visitors from other AG offices), enabling the smooth running of the operations. This is an exciting hands-on role, and you will have the opportunity to be involved in a variety of different areas within the firm. Within this role you will be the key point of contact / liaison between the UK and the Singapore office and will build relationships with a range of key stakeholders.

WHAT TO EXPECT IN THIS ROLE • In this role, you will provide high-quality, proactive PA support with technical expertise and a strong attention to detail • Anticipate the needs of fee earners, identify gaps, and take ownership to ensure tasks are completed accurately and on time. • Demonstrate excellent organisational, prioritisation, and problem-solving skills. • Maintain strict adherence to the firm's risk and compliance policies, completing all compulsory training and returning complaints/claims questionnaires on time. • Collaborate effectively across teams, utilising administrative and document support resources efficiently
KEY RESPONSIBILITIES Diary & Email Management: • Proactively manage appointments, emails, and schedules, including forward planning, travel arrangements, and meetings. • Anticipate scheduling conflicts and resolve them independently where appropriate, identifying and recommending cost efficient options for complex travel arrangements. • Ensure all meeting requirements are identified and actioned, including proactive preparation of meeting packs, itineraries.
Financial Responsibility: • Proactively support fee earners with their financial performance in collaboration with the finance teams, including client billing, monitoring and following up on matter balances, managing working capital, and running financial data reports as required. • Provide support with submitting expenses in line with firm policy, clearing client balances, and ensuring invoices are raised and issued promptly on completion of matters. • Liaise with clients and internal finance colleagues to resolve billing queries and maintain accurate, up-to-date financial records
Matter Management: • Manage all matter inception processes, including rate application, engagement letters, matter specifications, conflict checks and Client Due Diligence, ensuring full and accurate end-to-end CMI in line with firmwide protocols and liaising with the onboarding and OGC teams as required. • Oversee accurate file management, including identifying matters for closure and archiving
Business Development & Administrative Support: • Provide support with CRM administration, updating fee earner CVs, and assisting with bids and tenders alongside the Business Development team, while also offering ad hoc assistance in organising events and conferences. • Taking ownership of administrative tasks to ensure they are completed accurately and delivered to fee earners in a timely manner. • Delegate appropriate tasks to Document Production, including preparation of pitch and tender documents, conversion and amendment of legal documents, and handling transcripts.
YOUR AREAS OF KNOWLEDGE AND EXPERTISE • Minimum of two years' experience gained in a comparable environment (ideally law firm) at an appropriate level. • Confident stakeholder manager, with proven experience engaging with internal and external stakeholders at all levels. • Excellent verbal and written communication skills, with accurate use of grammar and punctuation. • Strong proficiency in written and spoken English. • Strong organisational and multitasking skills, with the ability to work in a fast-paced, international environment. • Ability to handle confidential and sensitive information with discretion. • Dynamic problem-solver, capable of finding creative, commercial, and pragmatic solutions where required. • Flexible and adaptable, with a willingness to meet client needs. • Proficient in Microsoft office suite. • Able to work effectively both independently and collaboratively as part of a team
