Job Description - Manager/Senior Manager Game Services - Hospitality 1 (Contract till 31Oct2025)

As the Manager, Games Services - Hospitality 1 (Accommodation, Food & Beverage Services, Protocol) at the World Aquatics Championships 2025, you play a pivotal role to support the Deputy Director to ensure all aspects related to accommodation, F&B services and protocol for the games and events.  Your responsibilities include excellent attention to detail, organizational skills, and ability to work with diverse stakeholders, which will contribute to the successful planning, coordination, and execution of this event.

 

What you will be working on

Responsibilities

1. Accommodation Management

  • Support in accommodation arrangements for athletes, officials, staff, and guests. 
  • Collaborate with hotel teams to develop and implement services and programs to enhance the check-in and room allocation processes, consistently meeting and exceeding guest expectations. 
  • Secure room blocks, manage reservations, and ensure smooth transportation arrangements between accommodation venues and event locations. 
  • Address escalated issues or complaints regarding accommodation facilities to uphold high guest satisfaction standards. 
  • Coordinate with transportation providers for seamless transitions between accommodation and event locations.

2. Food & Beverage Services

  • Collaborate with Food & Beverage providers, caterers, and concessionaires to plan menus, coordinate deliveries, and ensure high-quality dining experiences for all attendees. 
  • Support in Food & Beverage operations during the games and events, maintaining service standards, addressing feedback, and ensuring compliance with health and safety regulations. 
  • Conduct site inspections, coordinate with vendors, and lead in the resolution of any Food & Beverage related issues. 
  • Inspect facilities, equipment, products, or production lines to ensure food is prepared according to safety regulations. 
  • Lead audits related to quality and food safety, implement corrective and preventive actions, and maintain proper documentation. 

3. Budget Management 

  • Support in analysing the allocated budget for game services to identify potential cost-saving opportunities and efficient allocation of resources. 
  • Support in implementing rigorous cost control measures, including real-time tracking of expenses, to ensure venue setup operations remain within the predefined budget constraints. 
  • Support in preparation of budget status and adherence to all relevant stakeholders through detailed progress reports, promoting transparency and informed decision-making. 

4. Crisis Management and Contingency Planning 

  • Support in developing and implement contingency plans to address unexpected protocol-related situations or emergencies. 
  • Coordinate with emergency response teams, handle unforeseen changes to the protocol, and ensure the smooth continuation of events. 

5. Evaluation and Improvement

  • Post-event, actively engage in the evaluation process by collecting participant and stakeholder feedback regarding their experiences.  
  • Taking the lead in identifying areas for improvement and making essential changes for future events. 

6. Protocol Planning 

  • Develop a comprehensive protocol plan for the games and events. 
  • Work closely with the Assistant Director and other stakeholders to define protocol requirements and event timelines. 
  • Ensure strict adherence to established protocol guidelines.

In addition, an ideal candidate should possess the following:

  • Can start work immediately or within short notice period.
  • A minimum of 3 years of experience in event management or hospitality, preferably in sports or large-scale events.
  • Prior experience in the travel industry and experienced in using GDS.
  • Diploma in Hospitality Management, Event Management, or a related field.
  • Highly organized with the ability to manage multiple priorities simultaneously.
  • Strong ability to write and engage with stakeholders.
  • Ability to work in a fast-paced and dynamic environment under minimal supervision.
  • Familiarity with the aquatic sports industry is an advantage.
  • Flexibility to work irregular hours and travel as needed during the event, including weekends and holidays.
  • Other ad-hoc tasks as and when directed by Project Director.
