This is a fantastic opportunity for a keen, personable and proactive junior assistant to join a family office with significant philanthropic ambitions. Our vibrant family office is seeking a dynamic personal assistant to keep things running smoothly. The position reports directly to the Executive Assistant to support the UHNW in daily office and personal life schedules.
Job Responsibilities:
- Schedule meetings and manage calendars
- Draft correspondence such as emails and letters
- Help with daily time management
- Digital filing and physical document filings
- Handling general administrative duties, such as expenses claim, documentation etc
- Arranging international and domestic courier including GST payments
- Regular bookkeeping and preparation of expenses report
- Liaise with vendors for corporate services including but not limited to ACRA filing, IR8A, etc
- Long-term visit pass, EP application and renewal
- Manage office space and liaising with vendors when required
- Plan travel, including flights, accommodation, ground transportation, visa application, passport renewal, etc
- Travel immigration requirements and documentations
- Help manage properties in Singapore when required
- Organise lunches/dinners and restaurant reservations
- Assist in personal matters such as liaising with private bankers, driver schedules and other ad hoc tasks assigned
Requirements:
- Experience as a personal assistant, secretary, administrative assistant or office manager is useful for this role (but not absolutely essential for the candidate with the right attitude and aptitude)
- Bachelor’s Degree in any field
- Native fluency in English, both written and spoken as first language
- Excellent verbal and written communications skills
- Tech-savvy and experienced Outlook and Microsoft Office
- Maintain absolute discretion and confidentiality
- Proactive approach to problem-solving
- Strong time-management and organization skills
- Excellent interpersonal skills
- High degree of professionalism and confidentiality
- Detail-oriented
- Able to work independently and collaboratively
