Job Description - Project Admin Executive

Key Responsibilities

Administrative Support

  • Provide comprehensive administrative support to the project team.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Handle incoming and outgoing correspondence, emails and phone calls.
  • Prepare and edit documents, reports, and presentations.

Office Management:

  • Maintain office supplies and equipment, ensuring a well-organized and efficient workspace.
  • Coordinate with vendors and service providers for office maintenance and supplies.
  • Oversee office logistics, including travel arrangements and accommodations for team members.
  • Ensure compliance with office policies and procedures.

Project Coordination:

  • Assist in planning, organizing, and executing project activities.
  • Maintain project documentation, files, and records.
  • Track project timelines, budget, milestones, and deliverables
  • Communicate project updates and status reports to relevant stakeholders
  • Support team members with administrative tasks as needed.

Any other ad-hoc duties assigned.
 

Requirements:

  • Minimum GCE ‘A’ or Diploma in Business Administration, Management, or a related field
  • Proven experience in an administrative or office executive role, preferably within a project team environment
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of professionalism and discretion in handling confidential information
  • Fluent in written and spoken English and Chinese
  • Familiarity with industry-specific regulations and compliance requirements would be a good value add
