Job Description - Reception and Marketing Assistant

Company Overview: We are a leading firm providing legal, accounting, tax, payroll, and corporate secretarial services to a diverse range of clients. We are currently seeking a dedicated and efficient Reception and Marketing Admin to support our Sales Executive and contribute to our firm's growth.

 

Job Description:

Key Responsibilities:

Reception Duties:

  • Front Desk Management: Greet clients and visitors with a professional and welcoming demeanor. Manage the front desk to ensure a positive first impression.
  • Phone and Email Management: Answer and direct phone calls and emails to the appropriate departments. Handle inquiries and provide accurate information promptly.
  • Appointment Scheduling: Schedule and coordinate meetings and appointments for the Sales Executive and other team members. Maintain and update calendars.
  • Office Administration: Assist with general office tasks such as filing, data entry, managing correspondence, and maintaining office supplies.
  • Attendance: Maintain reliable and consistent attendance to ensure smooth daily operations and avoid disruptions.

 

Marketing Admin Duties:

  • Marketing Support: Assist the Sales Executive with implementing marketing strategies. Help prepare marketing materials, presentations, and proposals.
  • Content Management: Update and maintain the firm's website, social media platforms, and other marketing channels. Ensure content is accurate, timely, and relevant.
  • Event Coordination: Assist in the planning and coordination of marketing events, webinars, and client meetings. Handle logistics and communication with participants.
  • Market Research: Conduct research on market trends, competitor activities, and potential clients. Compile and present findings to the Sales Executive.
  • CRM Management: Maintain and update the customer relationship management (CRM) system. Ensure client information is current, accurate, and well-organized.

 

Qualifications:

  • Previous experience in a reception or administrative role, preferably in a professional services environment
  • Strong communication and interpersonal skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with CRM software and basic marketing tools is a plus
  • Excellent organizational and multitasking abilities
  • Strong attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Reliable with a strong commitment to consistent attendance
