Job Description - Sales Administrator

Job Responsibilities:

Sales order processing

  • Master Oracle ERP system, SalesForce and all applications relevant to Soitec sales process
  • Enter and manage customer purchase orders in Oracle system
  • Coordinate PO quantities and schedules with factory Demand & Sales Operation Manager
  • Coordinate shipment deliveries and warehousing with factory Supply Chain Logistics teams, and external contractors
  • Track customer payments and accounts receivables; support Finance dept and accounting contractors; support audits

 

Customer support

  • Regularly provide delivery information to customers through various ways : weekly backlog report, customer website update, shipping notification email, order acknowledgment or delivery plan email.
  • Establish strong relationship and communication with customer counterparts (SEA customers)
  • Answer customer phone calls and emails related to PO’s, deliveries, and standard sales admin topics

 

Back office support

  • Assist TWN&SEA Sales/FAE teams in all work aspects including quotations, invoicing, part number creations, RMA, documentations, shipment packing, etc.
  • Secretarial work including filing, record keeping, printing documents, mailing, booking customer meetings on customer online portals, making reservations, etc.
  • Back up TWN sales admin and other tasks assigned  

 

Travel support

  • Work closely with PA on coordinate and book local CG team and internal/external visitors arrangement, hotel, tickets, airport transportations, etc 

 

General administration

  • Support Customer Group Executive and local CG team requirements and expense report if needed 
  • Any other ad hoc duties assigned

 

Requirements:

  • Min. 3 years in Sales administration and/or customer service for an international company
  • Excellent English language skill / Mandarin communication skills as you will be working closely with our Taiwan customers
  • Strong ERP system Oracle or SAP knowledge (Oracle preferred)
  • Experience with CRM, such as Sales Force is preferred 
  • Strong office computer skills (Google Suite, Excel, Word, Powerpoint, etc)
  • General Sales/Finance/Accounting knowledge
  • Basic knowledge of high tech industries recommended, experience in semiconductor is preferred
  • Able to overtime time if required
  • Occasional travel may be required in future to support the field, to receive incremental training in the factory or attend global SA meeting
