Job Description - Senior Program Coordinator, Carbon Finance

CI Intro:

Position Summary:
Through science, policy, fieldwork, and The Asia-Pacific (AP) Carbon Team serves as Conservation International’s regional hub for Natural Climate Solutions (NCS) carbon development, working across the Nature Finance Group and the Asia, Indonesia, and Pacific Field Management Units (FMUs) to originate, de-risk, advance and support a pipeline of high-integrity NCS projects and jurisdictional programs. The team provides early-stage financing through the NCS Technical Assistance Facility (TAF), delivers analytical and technical support, strengthens alignment with host-country systems, and supports project development and implementation in close partnership with FMUs. The team also engages across evolving market pathways—both voluntary and emerging regulated frameworks—to position CI’s carbon supply for future market opportunities in the region. The Sr. Program Coordinator supports the effective execution of Conservation International’s Natural Climate Solutions (NCS) Technical Assistance Facility (TAF) and related programmatic work across the Asia-Pacific region.

The role serves as a central coordination and delivery-support function, ensuring that grants, contracts, and associated workstreams progress smoothly from approval through execution, reporting, and close-out. Working closely with the AP Carbon Team, Field Management Units, and CI finance, legal, and procurement counterparts, the Sr. Program Coordinator manages internal processes, timelines, documentation, and communications related to TAF-supported and other program-delivery activities. While this position does not replace or duplicate CI’s formal operations functions, it plays a critical internal role in maintaining process discipline, compliance, and continuity so that technical and project leads can focus on substantive project development and implementation.

Key Responsibilities

AP Carbon Program Delivery Coordination (25%)

·       Act as a coordination and follow-through point for AP Carbon program-delivery activities, helping ensure that agreed actions move smoothly from approval into execution and completion.

·       Maintain visibility across active TAF-supported work and related program activities by tracking key milestones, dependencies, and handoffs, and flagging issues early when timelines, inputs, or responsibilities are at risk.

·       Support clear internal communication by helping teams understand upcoming requirements, process steps, and expectations, and by reinforcing shared timelines and deliverables across projects and grants.

·       Communicate externally to grantees and partners about progress in reviewing deliverables and milestones

·       Lead external communication with grantees and partners about project progress and milestones for delivery and payment of grant funds.

·       Contribute to the refinement and continuous improvement of TAF and AP Carbon program-delivery workflows, templates, and internal guidance.

·       Support the development and use of tracking tools or systems that improve visibility and coordination across supported activities.

·       Identify recurring bottlenecks or risks and propose practical process improvements. Budget Tracking and Financial Coordination (35%)

·       Track approved budgets and expenditures for AP Carbon program-delivery activities in coordination with CI operations

and finance teams and provide guidance to team members on use of charge codes for timesheets and expenditures.

·       Support internal forecasting of budget balances, monitor variances in allocation and balances, and provide reporting related to funded work.

·       Act as a key focal point for working with CI’s operations and finance teams to support management of the AP Carbon team’s time and level of effort across workstreams.

·       Flag budget or expenditure issues early and coordinate with finance and project leads to address them. Coordination with Project and Technical Leads (15%)

·       Work closely with project and technical leads to align grant-supported activities with project development and delivery

needs.

·       Support preparation and coordination of scopes of work, deliverables, and timelines to ensure they are clear, realistic, and internally aligned.

·       Help maintain continuity between approved grant activities and downstream project development or implementation requirements.

Grants and Contracts Coordination (15%)

·       Coordinate with CI finance, legal, operations, and grants and contracts teams to support preparation, execution, amendment, and close-out of grant agreements and contracts.

·       Liaise with grantees and partners to meet financial reporting requirements in close collaboration with CI finance and grants and contracts teams.

·       Ensure required documentation, approvals, and compliance steps are completed accurately and on schedule.

·       Support issue resolution related to contracting, amendments, or partner compliance in coordination with appropriate CI teams.

Communications, Reporting, and Documentation (10%)

·       Serve as a central point of contact for internal communications related to AP Carbon program-delivery processes, requirements, and timelines.

·       Prepare internal summaries, status updates, annual reports, and budget documents related to program delivery, as required.

·       Develop and maintain a curated list of relevant carbon-related workshops, conferences, and industry events across the region and globally, identifying opportunities to enhance awareness of CI’s carbon portfolio while staying current with emerging trends and best practices in the field.

·       Maintain organized records and documentation to support transparency, learning, and institutional continuity. Process Improvement and Systems Support

Additional Responsibilities

·       Serve as a coordination and continuity point for shared tracking systems, project databases, and internal dashboards, helping ensure that information is current, consistent, and usable across the team.

·       Track project and grant status across the AP Carbon portfolio and help surface delivery risks, resourcing pressures, or process bottlenecks for timely discussion with the Senior Director and relevant leads.

·       Contribute to a healthy team environment by reinforcing shared ways of working, supporting onboarding and handovers, and documenting practical lessons learned from program delivery.

·       Provide day-to-day delivery and coordination support that reduces friction for technical, portfolio, and policy staff and enables the team to operate effectively at scale.

People and Resource Management Responsibilities

·       This position will require managing and monitoring of budgets; budget approvals, fund allocation decisions, and budget oversight responsibilities are performed by direct supervisor or another senior member of the team as appropriate

·       This position does not directly manage staff, but requires coordination with the work of CI country program staff and partners.

Education, experience, skills, and abilities:
·       Bachelor’s degree in business, finance, economics, or another related field.

·      3-5 years of relevant professional experience in non-profit or non-governmental organizations, in a project management, business operations, finance, grants and contracts, or other relevant roles that demonstrate involvement in complex, multi-stakeholder programs or project portfolios.

·      Proven experience supporting or coordinating project development and delivery across multiple workstreams, partners, or geographies.

·      Experience in managing grants and sub-grants and familiarity with utilizing appropriate systems for managing project milestones and delivery.

·      Strong organizational and coordination skills, with the ability to track multiple activities, manage interdependencies, and maintain clear documentation and follow-through.

·      Ability to work effectively across teams and disciplines, including technical specialists, country programs, consultants, and external partners.

·      Excellent written and verbal communication skills, with experience preparing clear summaries, status updates, and decision-support materials for internal audiences.

·      High level of proficiency in the use of Microsoft Office applications (MS Excel, Word, Sharepoint, PowerPoint, etc.).

·       Demonstrated ability to work independently, exercise sound judgment, and adapt in a fast-moving, evolving program

environment.
