Job Description - Shipping Administrative

Assist liaise with shipping procurement and documents.
Follow up shipping documents and maintain proper filing systems for all shipping and cargo-related documentation.
Subscription of ship tracking system and monitoring tracking reports.
Coordinate vessel schedules and shipment timelines with internal teams, port agents and receivers.
Able to respond to urgent operational matters after office hours when required.
Assist with loading report compilation, compliance records, and ad-hoc tasks as assigned by management.
Provide admin support to the shipping and operations team.
Support other operations duties as required by management.
Ensure a smooth and proper handling of Bill of Lading (B/L), letter of indemnities and load/discharge port documentation and ensure proper documentation and filing of shipping documents. This includes calculation of laytime with supporting shipping documents for each voyage performed by company’s chartered ships or owned ships.
Assist the commercial manager in contractual matters.
Other related duties as required.
