ABOUT THE ROLE

Tenant Relations

  • Welcome and greet all tenants & visitors (including tenants and their guests).
  • Assist with necessary security checks which includes issuing of visitors passes to tenants’ visitors.
  • Build strong rapport and relation with tenants especially the Tenants Representatives.
  • Manage visitor management system at Concierge counter and MyICEPortal and ensure information is promptly updated.
  • Manage and co-ordinate with tenants on accessibility arrangements & security cards access including the necessary programming and regular updates (at least twice per year).
  • Maintain and update tenants contact lists, emergency contact list, Fire Wardens / Asst Fire Wardens and company information.
  • Conduct orientation tour which showcases the property's facilities to prospects, tenants, clients, counterparts and/or related companies of Frasers Property Limited.
  • Attend to phone / in person enquiries efficiently and effectively.
  • Manage tenants' and visitors' feedback with professionalism and provide prompt service recovery when necessary (in persons and / or written communication.
  • Ensure the Reception Area (Office Lobby and Management Office) and surroundings is clean and organised at all times; if need be, trigger relevant parties to carry out the necessary remedial / rectification soonest possible.
  • Ensure high level of customer service and professionalism is consistently maintained.
  • Help to promote and create awareness of MyICEPortal and conduct introduction & training to tenants on its usage.
  • First Aider competency and provide necessary first aid if necessary to tenants / visitors.
  • Arrange for flower arrangement for tenants’ opening and special events.
  • Manage the booking of Amenities / Facilities within the development e.g. Community Zones, End of Trip Facilities, Reception Counter etc, follow-up closely on prompt payment, handing / taking of the space
  • Assist in drafting circulars, issuance of circulars/notices to tenants via email and MyICEPortal.
  • Provide administrative support to the Management Office whenever necessary e.g. issuance of Purchase Order via SAP, tracking of records.
  • Assist in generating and updating monthly report (Property Management Report).
  • Undertake any administrative and co-ordination duties as assigned from time to time.

Community Engagement

  • Assist in simple artwork creation using existing templates on Canva and / or any other available software(s).
  • Upload advertisement / posters on digital screens and lift screens.
  • Updating and uploading of digital directory boards / screens.
  • Assist and facilitate tenant engagement activities (CSR events, workshops and passion group activities) and promotional campaigns at Frasers Tower

KEY QUALIFICATIONS

  • Excellent commercial acumen
  • Ability to liaise, influence and interact confidently with diverse audiences
  • Strong communication, relationship building skills with a positive attitude
  • Basic MS words and Excel knowledge
  • Prior adminstrative experience and SAP knowledge will be ideal
