Trade Operator - physical petrochemical

Role Overview

We are looking for a meticulous and well-structured Trade Operator to manage the operational execution of physical petrochemical trades. This role centers on end-to-end trade operations, including documentation management, vessel and logistics coordination, and financial settlement support. The Physical Operator is essential in ensuring trades are carried out efficiently, in compliance with regulations, and strictly in accordance with contractual agreements.

Key Responsibilities

Trade Documentation & Administration

• Draft, review, and oversee all operational trade documents such as bills of lading, commercial invoices, certificates of origin, and customs documentation.
• Ensure documentation accuracy and timeliness in line with contract terms, Incoterms, and regulatory requirements.
• Coordinate document exchanges with counterparties, financial institutions, and internal teams to support smooth delivery and payment processes.

Shipping & Logistics Operations

• Coordinate closely with shipping agents, terminals, surveyors, and inspectors for vessel nomination, loading, and discharge activities.
• Track vessel movements and proactively address delays, deviations, or operational challenges.
• Ensure compliance with port regulations, charter party agreements, and health, safety, and environmental standards.

Financial & Settlement Support

• Partner with finance and accounting teams to support invoicing, payment monitoring, and reconciliation activities.
• Assist in preparing freight calculations, cost analyses, and demurrage or laytime claims.
• Ensure all documentation required for letters of credit or open-account settlements is submitted accurately and on time.

Stakeholder Coordination

• Serve as the central point of contact between traders, clients, and internal departments such as legal, risk, and finance.
• Provide timely updates on cargo movements, documentation status, and any operational or commercial risks.

Compliance & Operational Controls

• Ensure all trade operations adhere to internal controls, contractual obligations, and applicable trade and regulatory requirements.
• Maintain comprehensive records and audit trails for all executed transactions.
• Qualifications Bachelor’s degree in Logistics, Maritime Studies, Business, or a related discipline.
• 3–5 years of hands-on experience in physical operations within the petrochemical or energy trading sector.
• Solid understanding of international shipping practices and trade documentation workflows.
• Working knowledge of vessel operations, charter party terms, and port procedures.
• Strong communication skills with a proven ability to organize, prioritize, and resolve issues effectively.
• Prior experience with demurrage, laytime calculations, and freight cost management is an advantage.
