The Facilities Senior Executive will be the operational backbone of our campus— a hands-on owner who keeps things running, solves problems quickly, and builds the systems that allow our facilities function to scale. This role spans campus operations, maintenance, vendor and contract management, safety and compliance, and direct support to our scholar community.
We are looking for someone who learns fast, acts decisively, cares about the social mission, and takes pride in a well-run environment. You will be the first dedicated facilities hire at =Dreams, which means you will not only manage day-to-day operations but also establish the processes, standards, and infrastructure that will support a growing residential scholarship community. There is a clear pathway from Senior Executive to Facilities Manager as our enrolment and team expand.
KEY RESPONSIBILITIES
1. Facilities Operations & Maintenance
Oversee the day-to-day upkeep of all campus facilities, including residential, communal, and programme spaces
Develop and implement preventive maintenance schedules to minimise reactive repairs
Establish and continuously improve facilities management systems, processes, and workflows that support organisational growth
Develop and maintain facilities issue reporting, tracking, and resolution processes
Maintain accurate asset inventories, maintenance logs, facilities records, and operational documentation
Act as the first point of escalation for facilities issues, including after-hours emergencies
Coordinate facilities upgrades, repairs, and improvement projects as the organisation grows
2. Systems, Safety & Compliance
Ensure all facilities meet health, hygiene, safety, and regulatory requirements
Develop and continuously improve facilities policies, standard operating procedures, and operational controls
Oversee security-related infrastructure and processes, including access control, CCTV, attendance-taking systems, and other boarding-related operational systems
Conduct risk assessments and implement mitigation measures for facilities-related risks
Plan and coordinate fire evacuation exercises, drills, and emergency preparedness processes
Maintain compliance records, licenses, certifications, and statutory requirements as applicable
Monitor campus conditions and gather feedback from scholars and staff to identify improvement opportunities
3. Vendor Management & Resource Stewardship
Source, onboard, and manage service providers across office supplies, cleaning, pest control, landscaping, security, equipment servicing, and ad hoc works
Monitor vendor performance against agreed service levels and manage contract renewals, variations, and reviews
Maintain a vendor register and contract calendar to ensure continuity o services
Support budget planning, expenditure tracking, forecasting, and cost management in partnership with the Executive Director
Identify opportunities to improve operational efficiency, optimise resources, and maximise value from facilities-related spending
4. Scholar-Facing Facilities Support
Ensure scholars' living and learning environments are maintained to a high standard, with prompt attention to reported issues
Liaise with the Residential Support and Care team on facilities matters affecting daily scholar life
Contribute to campus improvement initiatives that enhance scholar wellbeing, safety, and programme quality
Participate in scholar onboarding processes as relevant to residential readiness
Experience & Qualifications
Minimum 5 years of experience in facilities management, building operations, property management, or a closely related operational role
Demonstrated ability to manage vendors, service contracts, and facilities-related projects independently
Experience in developing operational systems, processes, or workflows is an advantage
Experience in residential, education, community, hospitality, or social service settings is an advantage
Relevant certifications (e.g., WSQ Facilities Management, Fire Safety Manager, BizSAFE) are advantageous
Work Hours & Other Requirements
Weekdays, 9.00am–6.00pm
Some flexibility in working hours may be required to support maintenance works, emergencies, inspections, or operational needs outside regular office hours
