OPERATIONS EXECUTIVE

Job Description:

Daily Deployment Coordination

• Assist in preparing and updating daily rosters based on manpower availability and site needs.

• Coordinate with officers and supervisors for attendance, shift changes, or urgent redeployments.

• Track last-minute call-outs, leave, and MCs, and update the system or spreadsheets accordingly.

• Follow up with ground staff and ensure timely reporting of any deployment discrepancies.
  

Budgeting & Cost Support

• Collate daily attendance and overtime data to assist in preparing manpower cost summaries.

• Maintain deployment records to support payroll and monthly billing accuracy.

• Alert supervisors to abnormal OT usage or inefficient manpower deployment.
  

Admin Tasks

• Assist with onboarding documentation, issuing uniforms, and preparing deployment instructions.

• Maintain updated staff records including license validity, certifications, and training logs.

• Coordinate with HR on officer attendance, absences, and minor disciplinary tracking.

• Compliance & Documentation

• Help prepare site folders, deployment SOPs, and audit checklists.

• Ensure documents like licenses, site logs, and incident forms are properly filed and up-to-date.

• Assist in gathering data for PLRD audits or client inspections.
  

Communication & Coordination

• Relay urgent deployment updates between site supervisors and the operations team.

• Support in managing group chats, call-outs, or internal comms related to officer movement or updates.

• Escalate unresolved issues to Manager.

Job Requirements:

• Minimum 2 years of experience as an Operations Executive in the security industry managing sites and officers on the ground.

• Proficient in Microsoft Office, especially with Excel.

• Must possess a valid PLRD license with a minimum Security Officer (SO) grade.

• Good communication and interpersonal skills to liaise effectively with clients.
