AI & Digital Transformation Executive

Job purpose

The AI &Digital Transformation Executive will drive the adoption of Artificial Intelligence across the company. This role will work closely with departments including Operations, Finance and Admin departments to identify opportunities where AI can improve productivity, automate repetitive tasks and enhance decision-making. The successful candidate will serve as the company's AI champion, helping employees embrace new technologies while ensuring practical and responsible implementation. This position requires a hands-on professional who can balance operational support, project management, vendor coordination, cybersecurity, and business process improvement in a dynamic SME environment.

Duties and responsibilities

AI Strategy and Adoption

• Drive the adoption of Artificial Intelligence (AI) across the Bok Seng Group by identifying practical use cases that improve productivity and operational efficiency.
• Develop and execute the company's AI adoption roadmap in alignment with business objectives.
• Evaluate emerging AI technologies and recommend suitable solutions for business applications.
• Promote responsible and ethical use of AI across the organisation.
• Work with IT departments to implement AI solutions into existing systems

Business Process Improvement

• Work closely with department heads and staff to understand existing workflows and identify opportunities for automation and AI integration.
• Analyse business processes and redesign workflows to improve efficiency through AI and digital technologies.
• Document current and future-state processes, ensuring smooth implementation of new solutions.
• Monitor the effectiveness of implemented solutions and recommend continuous improvements..

Cybersecurity & Compliance

• Ensure compliance with organizational policies and relevant regulations, including Singapore PDPA requirements.
• Conduct cybersecurity awareness training for employees in relation to the use of AI.

AI Solutions & Automation

• Design, develop and implement AI-powered solutions to automate repetitive administrative and operational tasks.
• Build AI workflows using appropriate automation platforms, low-code/no-code tools and AI applications.
  Integrate AI solutions with existing business systems where applicable, including ERP, WMS, TMS, CRM and Microsoft 365.
• Develop AI assistants, knowledge bases and internal tools to improve access to information and decision-making.
• Engage stakeholders to gather business requirements and translate operational needs into AI-enabled solutions.
• Facilitate cross-functional collaboration to ensure successful implementation of AI initiatives.
• Support departments during the transition to new digital processes and encourage continuous innovation

Vendor & Budget Management

• Work with department head to liaise with external vendors, service providers, and technology partners.
• Evaluate AI software, platforms and digital tools based on business requirements.
• Coordinate solution implementation and monitor vendor performance.
• Work with relevant government agencies for successful implementation of AI solutions

Documentation & Governance

• Maintain documentation for AI solutions, workflows, processes and technical configurations.
• Develop AI implementation standards, guidelines and standard operating procedures.
• Prepare management reports on AI adoption, project progress, productivity improvements and return on investment.
• Maintain an inventory of AI tools, licences and digital assets used across the organisation.

Requirements

Education

• Diploma or Degree in Information Technology, Computer Science, Engineering, Business Analytics or a related field..

Experience

• Strong interest in Artificial Intelligence and business process improvement.
• Experience with AI tools such as ChatGPT, Microsoft Copilot, Claude, Gemini or similar.
• Familiarity with workflow automation platforms (Power Automate, Make.com, Zapier, n8n or similar) would be an advantage.
• Basic understanding of APIs and system integration.
• Strong analytical and problem-solving skills.
• Excellent communication skills with the ability to work across different departments.
• Curious, proactive and willing to experiment with new technologies.
• No prior logistics experience required, but an interest in understanding operational processes is preferred.

Technical Skills

• Knowledge of cybersecurity tools and best practices.
• Database fundamentals and reporting tools.
• IT asset management and service desk systems.
