Job Description - Assistant Manager, Information Technology

Job purpose

The Assistant IT Manager supports the planning, implementation, maintenance, and security of the organization's IT infrastructure and systems. The role is responsible for ensuring the smooth operation of daily IT activities, providing technical leadership to IT support personnel, managing technology projects, and assisting in the development of IT strategies that align with business objectives.

This position requires a hands-on professional who can balance operational support, project management, vendor coordination, cybersecurity, and business process improvement in a dynamic SME environment.

Duties and responsibilities

IT Operations & Infrastructure

  • Manage and maintain the company's IT infrastructure, including servers, networks, storage systems, cloud services, and end-user devices.
  • Ensure high availability, performance, and reliability of business-critical systems.
  • Monitor system health, capacity utilization, and security events.
  • Perform regular system updates, patch management, and preventive maintenance.
  • Coordinate disaster recovery planning and backup management activities.

Technical Support & Service Management

  • Oversee daily IT support operations and ensure timely resolution of user issues.
  • Escalate and troubleshoot complex technical problems.
  • Develop and maintain IT support procedures and service standards.
  • Manage IT asset inventory, software licensing, and hardware lifecycle.

Cybersecurity &Compliance

  • Implement and maintain cybersecurity policies, procedures, and best practices.
  • Conduct security assessments, vulnerability management, and risk mitigation activities.
  • Monitor and respond to security incidents and threats.
  • Ensure compliance with organizational policies and relevant regulations, including Singapore PDPA requirements.
  • Conduct cybersecurity awareness training for employees.

IT Projects & Digital Transformation

  • Assist in planning and executing IT projects, system upgrades, and technology implementations.
  • Work with business stakeholders to identify opportunities for process automation and digitalization.
  • Support ERP, CRM, WMS, TMS, and other business application initiatives where applicable.
  • Participate in AI, cloud, and digital transformation projects to improve operational efficiency.

Vendor & Budget Management

  • Liaise with external vendors, service providers, and technology partners.
  • Evaluate technology solutions and recommend improvements.
  • Monitor vendor performance and service-level agreements.
  • Assist in managing IT budgets, procurement, and cost optimization initiatives.

Team Leadership

  • Supervise and mentor IT support staff.
  • Assist in developing team competencies and technical capabilities.
  • Promote a customer-focused and service-oriented IT culture.
  • Support recruitment, onboarding, and performance evaluation activities.

Documentation &Governance

  • Maintain accurate documentation for systems, configurations, procedures, and IT assets.
  • Develop and update IT policies, standard operating procedures, and technical guidelines.
  • Prepare management reports on IT operations, project progress, and cybersecurity status.

Requirements

Education

  • Bachelor's Degree or Diploma in Information Technology, Computer Science, Information Systems, or a related field.

Experience

  • Minimum 3 years of relevant IT experience, with at least 1 years in a supervisory or team lead role.
  • Experience supporting SME environments preferred.
  • Hands-on experience with Microsoft Windows Server, Microsoft 365, AWS, networking, and virtualization technologies.
  • Experience managing IT vendors and infrastructure projects.
  • Exposure to ERP, logistics systems, warehouse management systems, or transport management systems is advantageous.

Technical Skills

  • Network administration (LAN, WAN, VPN, Wi-Fi, Firewall).
  • Microsoft 365 administration.
  • Cloud platforms (Microsoft Azure and/or AWS).
  • Virtualization technologies (VMware, Hyper-V).
  • Cybersecurity tools and best practices.
  • Database fundamentals and reporting tools.
  • IT asset management and service desk systems.

Soft Skills

  • Strong problem-solving and analytical skills.
  • Excellent communication and stakeholder management abilities.
  • Strong project coordination and organizational skills.
  • Ability to work independently and manage multiple priorities.
  • Leadership and mentoring capabilities.
