[What the role is]
The Admin Executive provides administrative and operational support for the Learning Express (LeX) programme and Experience 2026 run by the School of Life Skills and Communication. The role focuses on coordination, tracking, and execution of established processes, working closely with Programme Managers and internal stakeholders to ensure smooth delivery of programme activities.
[What you will working on]
Key Responsibilities
• Programme Administration & Coordination: Support day-to-day administrative operations for the LeX programme across planning, training, overseas trips, and post-programme activities. Maintain trackers, schedules, and documentation to support programme timelines and deliverables.
• Student and Facilitator Administration & Records Management: Support student and facilitator recruitment and onboarding processes by administering forms, tracking submissions, maintaining accurate student and facilitator records (e.g. passports, consent forms, medical declarations), and handling routine enquiries. Assist with coordination of student briefings, trainings, and attendance tracking.
• Logistics & Finance Support: Assist in coordinating logistics such as venues, accommodation, transport, catering, printing, and preparation of student and facilitator training programme materials. Support procurement and finance processes by preparing documentation, consolidating quotations, submitting invoices and claims, and tracking payment status.
• Documentation & Post-Programme Support: Support preparation and collation of documentation related to emergency procedures, and post-programme records. Assist with post-trip administrative matters including claims submission and follow-up with relevant offices.

Requirements & Competencies
1. Qualifications & Experience
• Tertiary education in Business Administration or related field.
• Prior experience in administrative, operations, or programme support roles preferred.
2. Skills & Attributes
• Good organisational and coordination skills with attention to detail.
• Able to manage multiple tasks and follow structured processes.
• Clear communication skills for routine stakeholder coordination.
• Comfortable working with spreadsheets, online forms, and shared tracking tools.
• Reliable, methodical, and able to follow up on tasks under guidance.
