Job Description - Contract Administrative Assistant (Lease Management) At 3 Locations, Up To $3300 - Part-Time

Responsibilities:

  • Creation of lease/licence agreements and standard lease variation 
  • Update and maintain tenants' contacts, tenancy schedules and other lease related documents
  • Liaise with tenants and Landlord to facilitate and prepare lease/licence agreements and documents
  • Track and monitor proper execution of lease/licence agreement within timeline and ensure collection of payments and all guarantees (i.e. bankers, performance, etc) required under the lease/licence agreement
  • Process and monitor renewal of tenancies/licences and submit valuation reports for tenancies/licences to Landlord
  • Reconcile audited sales report and prepare GTO billing 
  • Send out regular reminders to tenants for submission of audited sales, insurance certificates, settlement of rental and non-rental arrears and other documents
  • Track status of tenant submissions and general filing of documents
  • Process applications from tenants for tenancy change (such as assignment, inclusion of trade, subletting, change in mode of business, etc) and Outdoor Refreshment Area / Outdoor Display Area licences, Temporary Occupation Licence (TOL) etc
  • Verify lease and bank documents to ensure accuracy
  • Liaise with finance department on billing enquiries from tenants and deposit refunds
  • Seek approval and process lease related invoices
  • Send internal memos on updates of tenant movements and updates
  • Liaise with tenants on payments and negotiate payment schedule for effective immediate settlement of outstanding
  • Other general administrative and clerical duties

Period: 2 years contract

Location: Bukit Merah, Toa Payoh, Tanjong Pagar

Working Hours: Monday to Friday, 8.30am to 6pm

Salary: Up to $3300 

Requirements:

  • Diploma or Certificate in Business Studies, Management or equivalent 
  • Minimum 2 years of relevant working experiences in general office responsibilities and procedures 
  • Good communications and interpersonal skills 
  • Proficient in MS Office applications and preferably with lease documentation software experience
  • Able to work under pressure in a fast-paced environment and meet tight deadlines while maintaining high accuracy
