Executive Assistant - Part-Time

Executive Assistant (Part-Time, 3 Days/Week)

• Provide administrative and secretarial support to C-Suite
• Manage calendars, scheduling, and meeting coordination
• Prepare reports, presentations, and correspondence
• Coordinate meetings, take minutes, and track follow-ups
• Arrange travel bookings and support expense claims
• Act as liaison with internal teams and external stakeholders
• Support office administration (supplies, pantry ordering, upkeep)
• Coordinate vendors (cleaning, maintenance, building management)
• Assist with IT coordination (onboarding/offboarding, issue tracking with vendors)
• Organize filing systems and ensure smooth admin operations across working days

Requirements

• 3–5 years of experience in Executive Assistant / administrative roles
• Prior exposure to supporting senior stakeholders preferred
• Experience in office administration and vendor coordination
• Basic familiarity with IT coordination (non-technical) is an advantage
• Strong organizational and time management skills
• Able to work independently and prioritize tasks effectively
• Good communication skills, including ability to liaise with Chinese-speaking stakeholders
