Job Description - Operations Intern - Part-Time

About the Role

Cintra Consultancy is looking for a proactive, organised, and dependable Operations Intern to support the day-to-day coordination and administration of our agency.

This is a hands-on six-month internship where you will gain practical exposure to business operations, project coordination, internal processes, administrative support, and cross-department collaboration.

You will work closely with management and different teams across the company to help ensure that projects, documentation, schedules, and internal processes are properly organised and followed through.

This role is ideal for someone who enjoys creating structure, solving problems, keeping track of details, and helping a fast-moving team operate more effectively.

What You’ll Do

Operations and Administrative Support

  • Support the day-to-day administrative and operational needs of the company.

  • Assist with preparing, organising, and maintaining internal documents, records, trackers, and databases.

  • Help coordinate internal schedules, meetings, deadlines, and follow-up actions.

  • Ensure that important documents and information are properly filed and easily accessible.

  • Assist with procurement, office supplies, vendor coordination, and general workplace requirements.

  • Support management with research, documentation, and other operational tasks.

Project and Workflow Coordination

  • Track ongoing projects, deliverables, deadlines, and assigned responsibilities.

  • Follow up with team members on outstanding tasks and project updates.

  • Help ensure that internal handovers and information are communicated clearly between departments.

  • Assist in identifying delays, missing information, and operational blockers.

  • Support the preparation of project timelines, checklists, status reports, and meeting notes.

  • Help improve internal workflows, templates, trackers, and standard operating procedures.

Finance and Documentation Support

  • Assist with organising quotations, purchase orders, invoices, receipts, and payment records.

  • Support the tracking of client payments, vendor payments, expenses, and operational costs.

  • Help check that supporting documents are complete and accurately recorded.

  • Coordinate with the finance or management team on outstanding documentation and administrative matters.

  • Maintain confidentiality when handling company, employee, client, and financial information.

Human Resources and Team Support

  • Assist with interview scheduling, onboarding preparation, employee documentation, and offboarding processes.

  • Support the preparation of employment-related documents, internal forms, and staff records.

  • Help coordinate staff activities, training sessions, meetings, and internal initiatives.

  • Assist with maintaining leave, attendance, equipment, and other administrative records.

  • Support efforts to improve internal communication, employee experience, and workplace organisation.

Client and Vendor Coordination

  • Assist in coordinating with clients, freelancers, talents, suppliers, and external vendors when required.

  • Support the collection of documents, schedules, quotations, and project information.

  • Help arrange meetings, bookings, deliveries, and other operational requirements.

  • Ensure that relevant updates are communicated to the appropriate internal team members.

  • Maintain professional and timely communication with external parties.

General Support

  • Work closely with management and different departments to support wider company objectives.

  • Assist with ad hoc projects, events, shoots, meetings, and company initiatives when required.

  • Identify opportunities to make internal processes more organised and efficient.

  • Perform other operations, administrative, project coordination, human resources, and business support duties assigned by management from time to time.

What We’re Looking For

  • Strong organisational and time-management skills.

  • Detail-oriented and able to maintain accurate records.

  • Responsible, reliable, and proactive in following through on tasks.

  • Good written and verbal communication skills in English.

  • Comfortable working with spreadsheets, documents, trackers, and administrative systems.

  • Familiarity with Google Workspace, Microsoft Office, Notion, ClickUp, Asana, or similar tools is an advantage.

  • Able to manage multiple tasks, deadlines, and priorities.

  • Willing to learn and adapt in a fast-paced agency environment.

  • Comfortable communicating and coordinating with different team members and external parties.

  • Able to handle confidential and sensitive information professionally.

  • Strong problem-solving skills with a practical and solutions-focused mindset.

  • Able to work independently and as part of a team.

  • A genuine interest in business operations, project management, administration, human resources, or entrepreneurship.
