Job Description - Project Admin (Grant) [12-Month Contract $4,300] - Part-Time

Nearest MRT Station: Labrador Park
Contract duration: 12 months (agency contract)
Working hours: Mon - Fri (Office hours)

About the Role

You will support the management and coordination of grant/program activities for MHI funds and FSI operational workflows. This role focuses on accurate documentation, smooth follow-ups, meeting coordination, and supporting reporting/compliance and claims documentation.

Key Responsibilities

  • Prepare Letters of Award and supporting documentation for approved projects

  • Manage and track grant-related enquiries; maintain records and project documentation for funded projects

  • Arrange project meetings and support secretariat work (preparing and circulating materials)

  • Support knowledge management, report preparation, and tracking of project deliverables

  • Assist with compliance with funding and reporting requirements

  • Support claims processing by maintaining oversight of project documentation and financial records

  • Provide general administrative and operational coordination and follow-ups

  • Perform PA/administrative support duties for the Divisional Director\

Requirements

  • Diploma or Degree holder

  • Experience in administrative, operations, or project support roles

  • Strong organisational skills and attention to detail in handling documentation

  • Good written and verbal communication skills to coordinate with stakeholders

  • Ability to work independently and collaboratively in a team environment

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Preferred (Good to Have)

  • Familiarity with grant administration, finance-related processes, or compliance tracking

  • Experience coordinating meetings, managing documentation, and supporting operational workflows

  • Prior project coordination or stakeholder engagement experience
