Job Description - 1 Year Contract Facilities Operations Coordinator #TNJHJ - Part-Time

Facilities Operations Coordinator (1 year contract)

Startdate: 1 July 2026

Facilities and AV Department

  • To provide a centralized administrative and transactional support across the integrated Soft, Security and Engineering functions.
  • This role ensures contractual compliance through rigorous invoice processing, performance data consolidation, Single Central Record, licensing and contractlists, and maintaining the “Audit-Ready” status of the Facilities, Cafe and Transport Operations sections.
  • End-to-end processing of invoices, ensuring three-way matching between Vendor Invoices, Service Entry Sheets and Purchase orders.
  • Liaise with Finance Department to track aging reports and resolve payments discrepancies for both fixed and ad-hoc (non-fixed) resources.
  • Consolidate monthly Service Level Agreement (SLA) and Key Performance Indicator (KPI) data from various service streams
  • Ensuring timely submission of performance reports from Integrated Service Vendors andverifying data accuracy against on-site proof- of-presence tools.
  • Tracking penalties /incentives structures based on the structured performance model.
  • Maintain Digital Document Library such as Google Drive and Sharepoint for all maintenance regimes, service reports and safety certifications
  • Coordinating staff attendance and training records for the on-site team
  • Monitoring and following of Single Central Record and ensuring updated records.
  • Providecard printing support on seasonal basis.
  • Process,evaluate and monitor bus chartering invoices and catering invoices
  • Provide activities and events support
  • Executeany related works assigned as required by Facilities Director

Requirements:

  • Knowledge on Microsoft Office 365
  • Knowledge on Google platform will be an advantage
  • Experience in Facilities Ticketing System will be an added advantage
  • Ability to synthesize raw data into clear, professional reports
  • At least 3 years of relevant Administrative experience in an Facilities Management environment.
