Job Description - Import Customer Service Executive - Part-Time
Job Overview
We are seeking an experienced Import Operations Executive to manage end-to-end air freight import shipments and customer accounts. This role is responsible for ensuring smooth cargo movement, regulatory compliance, accurate billing, and exceptional customer service while coordinating closely with internal teams, customers, overseas offices, airlines, and service providers.
5.5 days week with alternate Saturday off Location: Alps Ave
Key Responsibilities
Import Shipment Operations
Manage import shipments from origin to final delivery in Singapore for Credit, Non-Credit, COD, and DDU customers.
Process shipment pre-alerts, update operational systems, and execute shipments in accordance with customer SOPs.
Coordinate with overseas stations, airlines, terminals, transport providers, and vendors to ensure timely cargo clearance and delivery.
Liaise with export teams on re-export arrangements and support cargo clearance activities.
Customer Service & Issue Resolution
Respond promptly to customer enquiries and resolve shipment-related issues.
Investigate and manage shipment exceptions such as cargo discrepancies, damages, short-landed shipments, and special transport requirements.
Provide urgent shipment updates and support outside office hours when required.
Special Cargo & Compliance
Oversee the handling of pharmaceutical cold chain shipments, valuable cargo, and other sensitive freight requiring enhanced monitoring.
Process permit-related documentation and ensure accurate submission of shipment information.
Ensure compliance with company policies, customer requirements, and regulatory standards.
Billing, Reporting & Administration
Set up new customer accounts and coordinate customer onboarding activities.
Generate COD invoices and ensure accurate billing of applicable charges.
Prepare operational reports, KPI tracking, discrepancy reports, and customer updates.
Work closely with Finance and support teams to ensure smooth operational processes.
Business & Operational Support
Prepare quotations for SME and Connect4air customers.
Support insurance applications and system-related issue resolution.
Provide backup support across the team to ensure business continuity.
Perform additional duties as assigned by management.
Requirements
Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
Minimum 2–5 years of experience in freight forwarding, air freight operations, import/export operations, or logistics customer service.
Strong understanding of import shipment processes, freight forwarding operations, and cargo handling procedures.
Excellent communication, customer service, and stakeholder management skills.
Ability to manage multiple priorities in a fast-paced environment.
Strong problem-solving skills and attention to detail.
Proficient in Microsoft Office applications and logistics systems such as WFS, Tango, or similar platforms.
Experience handling key accounts, billing activities, and special cargo (e.g., pharmaceutical cold chain or valuable cargo) will be an advantage.
Relevant work experience may be considered in lieu of formal qualifications.
