Job Description - Volunteer Management Executive - Part-Time

The Volunteer Management Executive is responsible for developing and implementing SANA’s volunteer management strategy, ensuring alignment with the organisation’s mission to support persons recovering from drug addiction. The role entails recruitment, onboarding and training,  engagement, retention, performance review as well as stakeholder collaboration for SANA’s pool of volunteers, which includes, inter alia, SANA Kakis (befrienders), Peer Leaders (persons-in-recovery) and Religious Group of Volunteers (RGV).

Key Responsibilities

1. Volunteer Strategy & Planning

  • Review existing Volunteer Management Framework periodically to ensure consistent alignment with SANA’s strategic goals.
  • Design, oversee and review volunteer training and development needs, providing upskilling opportunities and leadership development for volunteers.
  • Establish Key Performance Indicators (KPIs) and monitoring systems to measure volunteer engagement, impact, and program effectiveness.

2. Volunteer Recruitment, Training & Retention

  • Identify suitable volunteer roles across SANA’s initiatives, ensuring the right match between volunteer skills and organisational needs.
  • Develop and implement relevant training programmes to equip volunteers with essential competencies required for their roles.
  • Foster volunteer retention and keep volunteers motivated through structured recognition frameworks and engagement initiatives, including annual retreats and appreciation events.
  • Collaborate with other departments to conduct pro-social activities to encourage deeper engagement between volunteers and persons-in-recovery.

3. Stakeholder Engagement & Relationship Management

  • Cultivate partnerships with government agencies, corporate entities, and educational institutions to expand volunteer engagement and development.
  • Prepare and present comprehensive volunteer engagement reports, performance metrics, and impact assessments for SANA’s Board and Senior Management.

4. Process Improvement & Digital Transformation

  • Maintain, review and enhance SANA’s Volunteer Management System and mobile app, streamlining recruitment, onboarding, and communication, in close collaboration with system developer.
  • Implement data-driven decision-making, utilising volunteer feedback, performance metrics, and engagement analytics to refine strategies.
  • Standardise policies and procedures to ensure compliance with best practices in volunteer management.

5. Event & Program Management

  • Lead the planning and execution of volunteer appreciation events, retreats, and strategic engagement sessions, as well as support any other events organised by SANA.

Candidate Profile

In addition, he/she must demonstrate the following capabilities:

  • Strategic Thinking & Leadership – Ability to align volunteer engagement with organisational goals.
  • Stakeholder Management – Strong networking and relationship-building skills.
  • Programme Development & Execution – Experience in designing impactful volunteer engagement programmes.
  • Data-Driven Decision Making – Proficiency in monitoring KPIs and using insights for programme enhancement.
  • People-Centric Approach – Demonstrate empathy and possess excellent communication skills to engage and support volunteers effectively. A heart for social causes, high adaptability, and the ability to manage diverse groups of people.
  • Availability - Willingness to occasionally work evenings or weekends to support volunteer events.
  • Process & Technology Optimisation – Ability to implement and leverage digital solutions to enhance volunteer management efficiency

Academic Qualifications:

  • Minimum Diploma in Counselling, Social Work or Psychology preferred. Other qualifications with relevant experience will also be considered.
