Job Summary

You will oversee building services and facilities management, ensuring contract compliance, handling emergencies, coordinating council meetings, managing records, and preparing budgets to support smooth estate operations.

Responsibilities

• Conduct routine inspections of building services, equipment, and facilities to ensure operational integrity
• Verify that service providers meet contract specifications and performance standards
• Respond promptly to emergency service breakdowns to minimize disruption
• Address enquiries and feedback by investigating issues and providing effective solutions
• Monitor and ensure timely renewal of contracts, insurance, certificates, and licenses before expiry
• Coordinate and attend Council Meetings and AGMs, preparing notices, agendas, documents, and recording minutes accurately
• Manage and maintain organized records and files of correspondences and documents for easy retrieval
• Monitor payments and actively manage recovery of arrears to maintain financial health
• Liaise with solicitors regarding arrears recovery and other legal matters to protect estate interests
• Prepare budgets for Management and Sinking Funds to support financial planning and control

Preferred competencies and qualifications

• Diploma in Property Management preferred
• Minimum 2 years of relevant experience with the ability to work independently
• Proficient in Microsoft Office and Excel for documentation and reporting
• Knowledgeable in smart estate applications and digital payment platforms preferred
• Demonstrates strong leadership, interpersonal skills, and a positive work attitude
