Job Description - Sales Operations Assistant (1 Year Contract) - Part-Time

About the role

This role supports the daily operations of the Sephora business across both retail and e-commerce channels. Responsibilities include assisting with promotional campaigns, product and content management, sales operations, new product launches, and administrative tasks while working closely with cross-functional teams to ensure smooth business operations.

Key responsibilities:

1. Account Management

  • Support the Key Account Executives in the planning and execution of promotional campaigns for Sephora across both brick-and-mortar stores and e-commerce platforms.

  • Assist in the setup and coordination of promotional activities.

2. Sales & Operations

  • Maintain and update new and existing product price lists.

  • Manage monthly office inventory and ensure adequate stock levels.

  • Coordinate and process tester, Gift-with-Purchase (GWP), and gratis orders.

  • Verify and generate monthly Sephora invoices.

  • Conduct weekly store visits to monitor store operations, including stock availability, tester displays, and merchandising standards.

  • Prepare and present updates on Sephora support initiatives, thematic campaigns, and competitor activities for the monthly Brand Update meeting.

3. Product SKU Maintenance & Content Management

  • Coordinate with internal stakeholders to facilitate new product creation and ensure timely submission through the Sephora Brand Portal.

  • Maintain, upload, and monitor the status of new and existing SKUs on the Brand Portal for both Sephora Singapore and the Philippines.

  • Manage banner updates for Sephora Singapore and Philippines e-commerce platforms.

  • Edit and optimize product images using Adobe Photoshop to ensure compliance with Sephora's content and visual guidelines.

4. Administrative & Event Support

  • Raise vendor CSR invoices and support payment processing.

  • Coordinate logistics and operational arrangements for product launches and brand events.

  • Assist with ad-hoc tasks as required

Job requirements:

  • Diploma in Business, Marketing, or a related discipline.

  • Proficient in Microsoft Office applications. Knowledge of Adobe Photoshop or similar design software is an added advantage.

  • Experience in SKU setup, product master data management, pricing maintenance, promotional execution, and sales administration.

  • Strong numerical, analytical, and problem-solving skills with a keen attention to detail.

  • Good communication and interpersonal skills, with the ability to collaborate effectively across cross-functional teams.

  • Adaptable, customer-focused, and able to thrive in a fast-paced environment while performing well under pressure.
