Business Office Associate (1 year contract - Location: East)

The Business Office Associate will manage and provide support for Finance-related matters to deliver the required support services to the healthcare team and patients of senior care centre based on the defined care model:
Job Responsibilities
Finance

  
In charge of Accounts Receivable (AR) functions including email/ printing and mailing of residents’ invoices. Ensure copies of all printed invoices are filed and kept for audit
  
Preparation of Monthly Billing Approval report and Billings to Centre Manager and Assistant Finance Manager for approval.
  
Responsible to accept receipts from residents or sponsors and update receipt in the accounting system.  Perform follow up on outstanding receivables and issue monthly statement of account to patients or patients’ next of kin.
  
Ensure all receipts in the form of cash/NETS/credit cards are recorded and reconciled with day-end receipt for Centre Manager’s approval before they are stored into the locked safe.
  
Responsible to bank in all cash and cheques into the bank accounts and to tally with bank-in slips. Ensure all bank-in slips are properly filed and kept.
  
Responsible for submission and reporting of subvention claims to MOH and any applicable funds.
  
Manage on-site petty cash claim.
  
Ensure all claims are properly approved by authorised signatories before reimbursement.
  
To ensure Medical Social Worker would submit the Means-Test Subsidy Change Report (MSCR) to Finance monthly. The Finance Executive doing billing would check against the MSCR to ensure all subsidy changes are captured in the system prior to billing.
  
Support all audit required documents by preparing and getting ready for audit input clients daily attendance for Senior Care Centre in ILTC portal
  
To check initial payment of admission of client and verify and sign on FC form.
  
To process deposit refund for discharge client.
  
Perform other ad hoc assignments as and when required. Adhere to all relevant Finance policies.

Centre Administration

  
To cover MSW who is on leave or MC - process referrals from IRMS platform includes coordination with caregiver and assessment team and providing updates on the platform on the referrals received.
  
Handle telephone enquiries for the centre.
  
To support VSC operations in ensuring smooth running of the centre.  This include:
  
-Daily Reporting of IRMS numbers and client’s attendance to CEO via email.

- Management of Initial Assessment schedule: To contact potential clients and fix appointment within 2 working days upon receipt of referral in IRMS.

- Any other ad-hoc SCC-related duties that help can be rendered
  
To monitor SCC Budget and collate & submit claims to HQ in a timely manner
  
Be integrated as part of the SCC team and work towards being part of a cohesive and engaging team
  
To assist in the preparation of cost data for the Transportation Optimization Project
  
To verify accounting details  for purchases required in the centre
  
Any other centre administrative assignments as and when required, so clinical and care staff will be able to focus on direct care.

Job Requirement

  
Good written and spoken communication skill
  
Possess Diploma / Degree in Accounting or equivalent
  
At least 2 to 3 years’ experience in Finance or Business office role, preferably within a senior care centre/ nursing home/ healthcare facility
  
Meticulous with an eye for detail, good analytical skills
  
Able to work under pressure/tight timelines
