Job Description - Law Firm Administrator

Law Firm Administrator:

Quinlivan & Hughes, PA, a growth minded AV-rated firm with offices in St. Cloud, Long Prairie, Monticello, and Little Falls, MN seeks a dynamic individual with demonstrated leadership attributes to become its Firm Administrator. The Firm Administrator oversees all day-to-day administrative and management functions of the Firm. The firm has 44 employees, with 19 attorneys. The ideal candidate has a minimum of ten years’ experience with professional services firms, and possesses proven financial management, operations, and practice development skills. This position will be primarily based in the St. Cloud Office. The Firm Administrator is given considerable authority and autonomy to achieve Firm goals and objectives, including improved operating efficiencies and enhanced profitability.
Duties and Responsibilities

Finance and Accounting

Prepares and monitors annual budget, as well as long-term fiscal plans and forecasts for the Firm; directs the development, implementation and adherence to budgets and systems to achieve operating and financial objectives. Establishes financial controls and guidelines which optimize cost effectiveness and profitability. Studies and recommends improvements in financial systems and reports. Provides routine financial reports to Board and Shareholders.
Human Resources

Conducts the recruitment, hiring, managing and evaluations of all non-lawyer administrative and support personnel. Also responsible for reviewing, improving and overseeing workflow among attorneys, paralegals, and support staff to achieve maximum quality and efficiency. Submits annual recommendation for support staff wages to Board. Oversees the onboarding process and benefits management.
Systems and Information Technology

Works closely with the Managed IT Services provider and IT Coordinator to direct the evaluation and enhancement of existing and future computer and telecommunications hardware and software systems and equipment. Initiates and reviews recommendations for improvements in legal technology and information systems through the Managed IT Services.
Marketing and Business Development

Works closely with the Board to use available resources to recommend, develop, implement, and monitor Firm, practice group and individual attorney marketing and business development plans and initiatives, and works with Firm’s attorneys to carry out their individuals plans and initiatives. Serves, along with attorneys and other staff, as an ambassador of the Firm’s brand and seeks to attract clients and referral sources to the firm.
Facilities Management

Oversees the facilities management to maintain and optimize the Firm’s physical facilities, furnishings, and equipment; including working with landlords, contractors, and other vendors and suppliers as needed, and purchasing and leasing of equipment, furniture, services and supplies, including software and IT consultant services.
Management and Governance

Drives the strategic and tactical planning process and works with the Board to develop revenue opportunities for the Firm and create operational efficiencies for the law practice to position the Firm for the future.
Qualifications

Minimum five (5) years’ experience in management and administration of an office, with professional services firm environment preferred
Strong financial skills required.
Effective organizational, communications, leadership, and interpersonal skills required.
Excellent problem-solver and team player, with “Firm first” attitude and mindset.
Must work effectively with other motivated professionals in a challenging, fast-paced environment.
Compensation Package

Salary is commensurate with experience and credentials. Full benefits package is also included.
Reporting Relationships

Reports to the Firm’s Board of Directors.
